Privacy policy

This statement is to reassure you that I am compliant with the General Data Protection Regulations (GDPR - May 2018).

In order to create and deliver a unique and personal ceremony, it is necessary for me to get to know you and your family, and for you to share some personal information with me. Not everything you share may end up in the ceremony, and even if it does, I want you to know that I take your privacy very seriously.

What Data do I collect?

Names, addresses, telephone numbers, email addresses, details of people’s lives including relationships with other people, activities such as work, leisure activities and if applicable political, trade union or activities in relation to religion or belief. The form of this data is as follows:

  • Paper and electronic copies of Scripts

  • Client Information Sheet

  • Emails

  • Text messages

  • Letters

  • Facebook messages

  • Photographs

  • Cards and Testimonials

What do I do with your Data?

  • I record client information provided to me by funeral directors, wedding venues, wedding planners and anyone else who introduces us in a professional capacity.

  • I complete the information form when I visit clients (name, address, date of birth/death/event date)

  • I write notes on a notepad which I will later use to prepare the ceremony script.

  • I write scripts for conducting ceremonies and these will be both printed and stored digitally.

  • After the ceremony, the notes/scripts will be retained for a specified period of time (below) and then shredded/deleted when this window has lapsed.

How do I store your Data? 

  • I keep paper &/or digital records of all ceremonies.

  • I digitally store copies of ceremony scripts in an encrypted cloud storage folder that only I have access to.

  • When I am peer-reviewed (as required by the terms of my Professional Body) I will share the script with my reviewer. They will destroy all electronic and paper copies once the review has been completed.

  • I keep contact details on my mobile phone and computer. These can be deleted after the ceremony upon request.

  • All accounting information is stored securely on my computer.

How long will your information be retained?

Paper forms are kept in a locked cupboard for 6 years after which they will be shredded.

Digitally stored client information may be kept indefinitely in an archived, encrypted file. You can request for this to be deleted by emailing me.

Emails from Clients may be kept for 1 year after the ceremony and then deleted.

The paper copy of your script is kept in a locked cupboard and stored for 6 years after the ceremony at which point it will be shredded.

The electronic copy of your script may be kept indefinitely in an archived, encrypted folder. You can email me to request for this to be deleted.

Client contact details stored on my computer or phone may be kept indefinitely unless you email me to request that I delete them.

Photographs from your ceremony may be stored on my computer or phone and with your consent, will be retained indefinitely and may be used on my website or social media channels. Please email me if you would prefer these not to be used and/or deleted.

Testimonials may be retained indefinitely and may be used on my website or social media channels. Please email me if you would like to request that I do not use it in this way.
